Creating Bulk Enrolments

Upload a patient list to Auxita that will initiate several enrolment forms for a single drug at one time through the bulk actions section.

Through the import tool in Auxita, you can create several enrolment forms for various patients at once. If the patient does not exist in Auxita, a new patient profile is created. 

For example, if you need to complete a non-medical switch for all of your patients on Drug A over to Drug B – you can export a list of all patients on Drug A from your EMR and initiate an Enrolment form for all of them at the same time.  

Then, you can complete each enrolment form individually, sign it and submit it to the program.  

Pencil icon PREREQUISITE – In order to complete a Bulk Enrolment within Auxita a CSV file with patient demographics is required.  

Pencil icon NOTE You will need a list of patients in a .CSV file to be able to complete a bulk enrolment in Auxita.

Lightbulb icon TIP We recommend creating a report/Query in your EMR to generate this list. Most EMRs have the ability to generate a list based on past prescriptions, diagnoses or forms saved to the patient’s chart.

To initiate the enrolment forms 

  1. Once logged into Auxita, from the left-side menu click on Import.
  2. To start your import, click the ‘Import Actions’ button. Then choose Enrol Patients in Bulk. 
  3. First select the Drug.
  4. Then choose the specific Enrolment form you wish to initiate for the selected drug. 
  5. Choose the Prescriber the Enrolment Forms should be saved under.
  6. Click the Proceed button.

  7. An 'Acknowledge Import' dialog box displays to provide your consent. Choose to Show advanced mapping options and click 'OK'
  8. Browse to the saved .csv file on your device. Select the file and click 'Open' to begin the import to Auxita. 
  9. If the advanced mapping option is selected, the Mapping Columns window displays. Match the column header from the imported CSV file to the corresponding Auxita fields

  11. Once the import is complete. A 'Success' dialogue box will appear while the upload is processing.

Pencil icon NOTE  You can either import a list of entirely new patients, or a list that contains patients that have already been enrolled in a patient support program through Auxita.

Completing imported enrolment forms

After the import has finished processing, go to the Patients section. The recently imported patients will display at the top of the list and under the Program column, along with the name of the program for the enrolment form that was selected.
